How to Setup Chart of Accounts in Receipt-AI:
- Go to your Accounts.
- Enable at least one Bank or Card account.
- Disable Expense Accounts your team rarely uses.
✅ You're all set—go ahead and upload a receipt!
Step 1: Set Up Your Accounts
- Go to the Accounts section in Receipt-AI.
- Click on a bank or credit card account you’d like to enable.
Let’s walk through an example using a MasterCard account:
- Click into the account.
- Select the bank name.
- Enter the last 4 digits of the account number.
- Assign a team member to this account. For example, if you assign John Smith, any receipt he uploads will be automatically categorized to this card.
- Choose the billing cycle close date (the day of the month your statement ends).
- Toggle the account to “Enabled.”
Just like that, your credit card account is now set up in Receipt-AI! Receipts uploaded by the assigned team member will be categorized correctly and synced to your accounting software like QuickBooks or Xero—saving you time and reducing manual entry.
Step 2: Fine-Tune Expense Accounts
Team members usually only use a few expense categories. Enabling too many accounts can confuse the system and lead to mistakes, so we recommend disabling the ones they don’t actually use.
For example, if a team member doesn’t need to use the Legal Professional Fee category:
- Click into the Expense account.
- Toggle it off to disable.
That’s it! By only keeping the necessary accounts enabled, Receipt-AI can categorize receipts more accurately for each team member.
